How to make an email signature

  1. Type your name, job and contact details. Add a link to your photo or logo if you like.
  2. Pick a design and a colour. The preview shows it at the bottom of an email.
  3. Choose Copy signature and paste it into your email app’s signature settings (steps below).

What to put in a signature

  • Who you are: your name, job title and company.
  • One or two ways to reach you: usually a phone number and a website. Your email is already in the message.
  • One link that matters: a booking page, your portfolio or your latest offer, as the button.

Frequently asked questions

How do I add the signature to Gmail?

Choose Copy signature. In Gmail, open Settings (the gear), See all settings, scroll to Signature, choose Create new, paste into the box and choose Save changes at the bottom of the page.

How do I add it to Outlook?

Choose Copy signature. In Outlook on the web or the new Outlook, open Settings, Accounts, Signatures, choose New signature, paste and save. In classic Outlook for Windows, go to File, Options, Mail, Signatures, choose New, paste and choose OK.

How do I add it to Apple Mail?

Choose Copy signature. In Mail on a Mac, open Settings, Signatures, choose the + button, untick “Always match my default message font”, paste into the right-hand box and close the window.

Why does my photo need to be a link?

Email apps block pictures stored inside a signature, so the photo or logo has to be online. Use a link to a picture on your website, LinkedIn or a file host that gives a direct image link (one that ends in .png or .jpg). Without a picture, the designs that have one show your initials instead.

Will it look the same for everyone?

It's built the way email apps need: tables and simple styles, in fonts every computer has. It looks right in Gmail, Outlook, Apple Mail and on phones. Some apps show pictures only after the reader allows them.
